Free Purchase Order Generator — Create & Print PDF Purchase Orders

A purchase order gives a supplier a clear record of what a buyer proposes to order. This free purchase order generator creates an itemized PO with buyer and supplier details, quantities, prices, requested delivery information, payment terms and notes. It calculates item totals, a single tax percentage on the items and shipping added afterward. Review the preview, then print or save it as a PDF. The tool prepares a document; it does not approve purchases, place orders or send commitments to suppliers.

How to create a purchase order

Enter the buyer’s business name and contact details, then identify the supplier. Add a purchase order number that fits your own records. Choose the order date and requested delivery date, and provide the delivery address. The form keeps the delivery address separate because the place receiving goods may differ from the buyer’s billing address. Check all three parties or locations carefully before proceeding.

Add up to five line items with descriptions, ordered quantities and unit prices. Choose a currency label, enter the single tax percentage and add any shipping amount. Use the payment-terms and notes fields to explain relevant arrangements. Select Generate to preview the purchase order. The tool does not check stock, verify a supplier’s quotation or decide whether the buyer has authority to make the purchase.

Purchase order versus quotation and invoice

A quotation presents proposed pricing from a seller. A purchase order records the buyer’s intended order, usually with a reference that can be carried through later documents. An invoice requests payment from the seller’s side. These documents can describe the same transaction at different stages, but their functions are distinct. Do not treat them as interchangeable simply because each can contain an item table.

Use our quotation generator for a proposed price and our invoice generator for billing. When copying details between documents, check the agreed quantities, price, currency, delivery and terms again. The legal effect of a purchase order can depend on the circumstances and applicable rules. This generator does not determine acceptance, contractual obligations or whether additional agreements are needed.

What to include in a practical PO

A useful purchase order identifies the buyer, supplier, reference, issue date, items and quantities. Unit prices and totals explain the expected cost. Delivery details tell the supplier where and when the order is requested. Payment terms and notes can identify a quotation reference, specification or other relevant arrangement. A supplier should be able to understand what is being requested without guessing from an abbreviated product name.

For an item with variants, include the distinguishing information in the description. A model, size, color or part reference may be important. If several quantities use different units, state the unit in each description because this compact form does not provide a separate unit column. Avoid adding confidential internal information that the supplier does not need. Keep supporting specifications with the PO when the short table cannot capture the full requirement.

How purchase order totals are calculated

Each line total is quantity multiplied by unit price, rounded to two decimal places. The subtotal adds those rounded line totals. The entered tax percentage is applied to the item subtotal and rounded to two decimals. Shipping is added after that tax calculation. The final total equals subtotal plus item tax plus shipping. This is a deliberately simple calculation with the shipping treatment stated in the result.

For example, ten items at 25 each produce a subtotal of 250. An illustrative ten-percent tax adds 25, and shipping of 15 creates a total of 290. The example rate is arithmetic, not a recommendation for your transaction. This version does not calculate tax on shipping, apply discounts or support multiple tax rates. If your order needs a different treatment, use an appropriate purchasing or accounting system rather than forcing the figures into this model.

Delivery dates and addresses

The requested delivery date is a request recorded on the document, not a confirmation of supplier availability. Agree realistic dates through your usual process and check whether shipping time, production, weekends and closures matter. The generator rejects a delivery date before the order date, but it does not assess lead times, inventory or carrier schedules. A valid calendar date is not the same as a feasible delivery commitment.

Our business days calculator can help count weekdays between two dates using your supplied holiday list. Use that as a planning aid, while checking the supplier’s actual service terms. A delivery address should include the building, unit or receiving instructions needed to avoid confusion. Check whether someone will be available to receive the shipment and whether any site-specific requirements need separate communication.

Purchase order numbering and approval

A consistent PO reference makes it easier to connect requests, approvals, deliveries and invoices. A format such as PO-2026-001 is one possible approach. The generator does not allocate sequential numbers or remember previous orders. Keep a separate register and check for duplicate references before issuing a document. If a supplier quote is being accepted, include its reference in the notes so the relationship is clear.

Follow your organization’s approval process before sending a purchase order. The form does not establish spending authority, check budgets or create an approval trail. A generated PDF can look complete even when an internal authorization is missing. Keep evidence of the approved request and any conditions that apply. Do not interpret clicking Generate as permission to buy or as an action that places the order.

Specifications, terms and scope notes

Use the notes field for information that affects fulfillment, such as a relevant quotation reference, agreed specification or requested packaging. Keep the wording specific and consistent with the actual discussion. If a term is uncertain, resolve it before issuing the document rather than burying the uncertainty in a vague sentence. A clear PO reduces avoidable questions between the buyer, supplier and receiving team.

This simple document builder does not draft a complete supply agreement, warranty, return policy or jurisdiction-specific tax statement. It also does not determine which business registration details are required. Add necessary identifiers where appropriate or use a specialized system when the order needs additional fields. Keep the final document aligned with the approved agreement instead of relying on generic terms copied from an unrelated transaction.

Receiving goods and checking invoices

When goods arrive, compare what was ordered with what was delivered. A packing slip can help identify shipment contents, while the PO gives the ordered quantities and expected prices. Record shortages, overages or discrepancies through your normal receiving process. The purchase order generator does not update inventory, record delivery confirmation or reconcile partial shipments.

Our packing slip generator provides a separate item-and-quantity document without price fields. Keep it connected to the same order reference where appropriate. Before approving a supplier invoice, compare the invoice with the actual agreement and receiving records. Matching document numbers is useful, but it does not independently prove that the goods, prices and payment terms are correct.

Print, save and review the document

Choose Print / Save as PDF after generating the preview. A clean print view opens in a new window. Use its print button to select a printer or PDF destination, then inspect page size, margins and long descriptions. Save a filename containing the PO reference and supplier name. Open the PDF once before sending it through your organization’s approved purchasing channel.

The tool runs in your browser and does not intentionally upload or retain its form values. The surrounding website may use ordinary cookies, analytics and advertising. No order is emailed or submitted automatically. Check the buyer, supplier, reference, quantities, prices, tax assumption, shipping, delivery address and terms before issuing the PO. Keep the final version and its authorization record together.

Frequently asked questions

Does generating a PO place an order?

No. The tool creates a preview only. Follow your own authorization and supplier communication process before issuing a purchase order.

Is shipping included in the tax calculation?

No. This version taxes the item subtotal and adds shipping afterward. Use another system if your transaction requires different treatment.
