Create a clear, itemized invoice without opening a spreadsheet or registering for an account. This free invoice generator lets you enter seller and customer details, list products or services, apply an amount-based discount and calculate a single tax percentage. Preview the invoice, review the totals and use your browser to print or save a PDF. It is designed for straightforward freelance invoices, contractor bills and small-business sales documents rather than automated accounting or payment collection.

How to create an invoice online
Start with the From field and enter your business name and contact details. Add the customer’s billing information in the To field. You can use separate lines for a street address, email and telephone number. Enter an invoice number that fits your own numbering system, then choose the issue date and payment due date. The tool does not allocate sequential invoice numbers or check whether you have used a reference before, so maintain that record yourself.
Enter a description, quantity and unit price for each item. The invoice maker supports up to five line items. Use a quantity of one for a fixed project fee, or enter hours and an hourly price for time-based work. Add a currency label, discount amount, tax percentage and any payment instructions. Select Generate to preview the document. Review the names, dates, descriptions and amounts before printing, downloading through your browser’s PDF destination or sending it to a customer.
What information belongs on an invoice
A practical invoice identifies who supplied the goods or services, who is being billed and what the customer is expected to pay. Include a recognizable business name, invoice reference, issue date, item descriptions and total. The due date explains when payment is expected. Contact details help the customer ask a question or resolve a billing discrepancy. If a purchase order, project code or booking reference matters to the customer, include it in the notes.
Required invoice information depends on your location, business type and tax status. This simple invoice generator does not determine which registration numbers, tax statements, exchange rates or legal disclosures your transaction requires. It provides editable fields, not a compliance assessment. Check your local requirements and add any necessary information to the business details or notes. If a transaction needs complex tax treatment or additional invoice fields, use a suitable accounting system or a more specialized document.
How invoice totals are calculated
Each line total equals quantity multiplied by unit price, rounded to two decimal places. The subtotal is the sum of those rounded line totals. The tool subtracts the discount amount from that subtotal and applies the entered tax percentage to the discounted balance. The tax is rounded to two decimal places, then added to the discounted balance to produce the total. A discount larger than the subtotal is rejected because this tool is not designed to create a negative invoice.
For example, two items at 75 each and three items at 20 each create a subtotal of 210. A discount of 10 leaves 200. An illustrative tax rate of ten percent adds 20, producing an invoice total of 220. That rate is only an example, not a recommendation for your transaction. The generator uses one tax rate across the whole discounted subtotal. It does not support tax-inclusive pricing, compound taxes, multiple tax bands or a different rate on each line.
Write descriptions that reduce questions
A useful invoice description tells the customer what was supplied and connects the charge with an agreed service or product. “Website maintenance, October” is more informative than “Work.” For a contractor invoice, identify the task or stage completed. For a freelance writing invoice, mention the deliverable or agreed project reference. Keep descriptions concise enough to fit comfortably in the printed table, while providing enough detail for the customer to recognize the charge.
Avoid including confidential project information that is unnecessary for billing. If a service includes several detailed activities, summarize them on the invoice and provide a supporting timesheet or report separately. Our time card calculator can help you review working time before invoicing, but you should bill according to the actual agreement with your customer. Time spent, billable hours and an approved project fee are not always the same thing.
Invoice versus quotation versus receipt
An invoice requests payment for goods or services. A quotation describes a proposed price and scope before the customer accepts the work. A receipt records money actually received. Keep those functions distinct so customers understand the status of a transaction. Generating an invoice does not prove that a customer has paid it, and generating a quotation does not automatically establish acceptance or create a complete contract.
Use our free quotation generator when you need an itemized proposal before billing. If you prefer a downloadable document layout for construction work, browse our construction invoice templates. Export shipments may require customs information beyond an ordinary invoice; our commercial invoice templates provide a separate starting point. Choose the document that matches the transaction instead of changing the heading on an unrelated form.
Payment terms and invoice numbering
Use the notes field to explain how payment should be made, whether the invoice relates to a deposit or final balance, and whom the customer should contact. Keep payment instructions consistent with your agreement. Do not add unexpected charges, penalties or bank details you have not checked. If bank transfer details appear on an invoice, confirm them carefully before sending. A small typing mistake can create a significant payment delay.
A simple numbering system might use a year and sequence, such as INV-2026-001. The important point is consistency and a separate log of issued references. This browser-based invoice creator does not track paid status, send payment reminders, reconcile bank transactions or retain customer records. Keep your final invoice, related correspondence and payment evidence in your own filing system. If a document is corrected, preserve an appropriate record rather than silently replacing a version already sent.
Print or save your invoice as PDF
Select Print / Save as PDF after generating the invoice. A clean document opens in a new window with a print button. Choose Save as PDF, Microsoft Print to PDF or the equivalent destination provided by your browser or operating system. This is a print-based PDF export rather than a separate file-download service. Review page size, margins, line wrapping and page count before saving. A long address or note can make the invoice extend onto another page.
Give the saved file a descriptive name containing the invoice reference and customer name. Open it once to verify the content before attaching it to an email. The generator performs calculations locally and does not intentionally upload or retain the information entered in its form. The surrounding site may use ordinary analytics, cookies or advertising. On shared devices, close the print window and remove downloaded files when appropriate. No payment is processed through this tool.
Final invoice checklist
Check the customer name against the agreed billing details. Confirm the invoice number, issue date, due date and currency. Review every quantity and price, including any decimal quantities used for hourly work. Verify that the discount is an amount rather than a percentage, and make sure the single tax setting reflects your intended calculation. Read the payment instructions and notes aloud to catch missing words. Only send the invoice when the document accurately reflects the real transaction and the customer’s agreement.
